Which one suits you: The difference that matters is not headcount, it is who keeps the records for the years the law requires (4 in Spain, 5 in Italy and Portugal, 10 in Poland). With the one-off payment the server keeps 6 months and you download the report every month to keep it. Frequently asked questions
Is time recording mandatory?
In Spain yes, for every company, since RD-ley 8/2019 (art. 34.9 of the Workers’ Statute). Start and end times must be recorded for each person, every day. The duty exists in most EU countries too, although the detail varies: in Belgium the general obligation does not start until 1 January 2027.
How many years must records be kept?
It depends on the country and it varies a lot: 4 years in Spain, 2 in Germany, 1 in France, 5 in Italy and Portugal, and 10 in Poland. The clock does not always start at the same point either: in Italy it runs from the last entry and in Poland from the end of the year in which employment ended.
Is there an official file format for time records?
No. None of the rules we have verified imposes a specific file format: there is no «inspection PDF» or «official Excel». What the law requires is that the record be reliable, tamper-evident, accessible to the authority and kept for the required period. A readable PDF or CSV meets that.
Do breaks have to be recorded?
It depends on the country. In Portugal yes: article 202 of the Código do Trabalho requires breaks to be included. In Germany no: MiLoG only requires start, end and duration, and the 30-minute break comes from the ArbZG, which is a rest rule rather than a recording rule. The two get confused often.
Can you clock in without an internet connection?
With Puntual, yes. The entry is saved on the device first and synced afterwards, so a warehouse with no coverage or a phone with no data does not stop anyone clocking in. That is the difference between an app that fails exactly when you need it and one that does not.
Who is responsible for keeping the records?
The employer, not the software vendor. Whatever a tool promises: if it disappears tomorrow, the company is the one answering to the labour inspectorate. That is why Puntual exports a report with an annex that lets the data be verified independently, without depending on us.
